3.0 Personal Information We Collect, Use, Store, and Retain

3.1 Candidates

We may collect (with your consent):

  • Name and job title

  • Contact information (email address, phone number)

  • Demographics (postcode, preferences, salary, interests)

  • CV and related data

We collect this to:

  • Find relevant job opportunities

  • Forward your CV to clients (with consent)

  • Inform you of jobs of interest

  • Keep internal records

  • Contact you periodically via email, phone, or mail

  • Comply with legal/regulatory requirements

Your data is stored in our CRM system. Only authorized Four Leaf Recruitment staff have access.

For contract workers, timesheet data is stored in our head office for payment and invoicing.

3.2 Employers

We may collect (with your consent):

  • Name and job title

  • Contact details (email, phone)

  • Company info (address, contact, customer base)

  • Demographics (postcode, preferences, interests)

  • Data relevant to recruitment services

We collect this to:

  • Match you with suitable candidates

  • Notify you of candidate availability

  • Keep internal records

  • Contact you via email, phone, or mail

  • Comply with legal/regulatory requirements

Stored in our CRM system (see 3.1).

3.3 Data Retention

We retain your data for 3 years to keep in touch and update records.

If your relationship with Four Leaf Recruitment becomes inactive, your data will be deleted after 3 years. You may request deletion sooner. Once deleted, we will no longer be able to provide services to you.

4.0 Job Alerts / Email Newsletter

To receive job alerts and newsletters, you must provide your email address.

This will be stored in MailChimp (our email provider). It is not stored on our website or internal systems.

Your email remains in MailChimp until you unsubscribe. To unsubscribe, email us from your subscribed account at info@4leafrec.com.

You will receive occasional newsletter emails (approx. 3 times/year).

5.0 Curriculum Vitae (CV)

You may submit your CV via our website or by email to a consultant.

Your CV will be stored in our database and accessible to our recruiters. You may update it by resubmitting.

6.0 Securing Your Data

We are committed to data security. All data is stored on secure servers, protected by:

  • Technical and organizational safeguards

  • Regular malware scans

  • SSL encryption for all submissions

Only a limited number of authorized Four Leaf Recruitment employees can access this information.

7.0 How We Use Cookies

We use cookies to improve your experience. You can manage cookies in your browser or visit aboutcookies.org for guidance.

Used for login and session management. Disabling these will break essential functionality.

Used to store preferences for media players. Without them, some content may not display correctly.

8.0 Controlling and Retaining Your Information

We keep your data for 3 years. We do not share or sell your data unless required by law or with your consent.
